Background and Job Purpose:
The vision for London 2012 is to host an inspirational, safe and inclusive Olympic and Paralympic Games and leave a sustainable legacy for London and the UK.
The London 2012 Organising Committee is looking to recruit an experienced and friendly person to join the team as full time receptionist, reporting directly to the Facilities Manager. This is an extremely important role representing London 2012. The successful candidate will work together with our current full time receptionist team.
Responsibilities will include all those relating to running the reception desk at London 2012, encompassing all telephone handling as well as a variety of administration duties to support the organisation.
Key responsibilities/accountabilities:
Answering/transferring/handling incoming calls on switchboard
Welcoming a significant number of guests on a daily basis
Booking security passes for guests
Booking guest parking spaces
Booking cycle bays
Meeting room management
Responsible for catering ordered for meetings and functions
Booking couriers and taxis
Responsible for recorded mail
Arranging building access for delivery vehicles
Updating the Facilities supervisor on daily activities
Formatting long term visitors access passes
Ensuring the reception area maintains a professional and welcoming appearance at all times
Being aware at all times of internal security and health and safety issues
Overall responsibility of booking and managing 23 external meeting rooms and 9 internal meeting rooms
Managing and responding to a significant number of reception emails on a daily basis in addition to general enquiry emails
Person specification
Key knowledge, experience and qualifications required:
Proficient in Mandarin, Cantonese, English will be advantage
Proficient in Word, Excel and Outlook
Previous experience as a professional receptionist
Excellent telephone and communication skills
Professional appearance
Diplomacy, and sensitivity
Strong organisational skills, able to prioritise, with attention to detail
Self motivated, flexible, reliable and punctual
Ensures reception creates an outstanding first impression

Job information:
Salary range:
£18,000 - £24,000 (prorated) depending on experience (plus benefits)
Term of appointment:
The appointment will be made under the London 2012 Organising Committee's standard terms and conditions.
